To create a welcome flow with a guided platform tour for your white label clients, use the Flows module in Papo. Build a flow that sends a sequence of messages introducing the platform modules and features, and connect it to Synapse to automatically enroll the client contact as soon as the first conversation starts.

With this automated onboarding, every new client of your resale receives a guided visit through the essential resources — from the unified inbox to the CRM, from AI to Kanban — without relying on manual support. The result is greater tool adoption and fewer first-use questions.

Summary of the welcome flow with guided tour

Component Role in the flow Example of use
Flow (Flows/Chatbot) Visual sequence of messages that will be sent to the client during onboarding. Flow called “White Label Onboarding Tour”.
Send Message node Each node presents a platform module or feature, with text and, optionally, an image or video. “Here is Kanban: drag your cards to move opportunities through the funnel.”
Question + Condition node Collects client feedback (“Got it?”, “Need help?”) and branches to support or the next step. If they answer “yes, help”, transfer to an agent; if “all good”, continue the tour.
Synapse Automatic trigger: enrolls the contact in the flow when the conversation starts in a specific inbox. Rule: “When new conversation in the ‘White Label Clients’ inbox → enroll in the Onboarding Tour Flow”.
Variables Personalize the message with the client’s name (e.g., {{ contact.first_name }}). “Hello, Maria! Let’s get to know your new platform?”

How it works: step by step

1. Create the onboarding Flow

In Papo’s side menu, go to Flows / Chatbot. Click to add a new Flow and give it a suggestive name, such as “White Label Onboarding Tour”. The editor will open with the initial node (Start).

2. Build the welcome greeting

Click the “+” sign after Start and choose the Send Message action. In the text field, write a personalized greeting using the name variable. Example:

Hello, {{ contact.first_name }}! Welcome to your customer service platform. I’ll guide you through the main modules. First, Conversations: this is where all WhatsApp, Instagram, and other channel conversations appear in a single queue.

You can attach a screenshot of the inbox screen to make the tour visual. Save the node.

3. Add steps for the other modules

Repeat the process by inserting new Send Message nodes in sequence. Introduce the modules that most impact your client’s operation, such as:

  • Kanban: “Drag cards between columns and track your opportunities from first contact to closing.”
  • Super Chat and AI: “AI responds automatically, qualifies leads, and can even schedule appointments in Google Calendar.”
  • Extractor: “Extract leads from Maps, CNPJ, and the web and send messages directly to the CRM.”
  • Broadcaster and Email Marketing: “Create segmented WhatsApp and email campaigns with real-time metrics.”

You can alternate each presentation with a Ask a Question node, such as “Any questions?”. Then insert a Condition node:

  • If the client answers “yes” or “help”, use a Transfer to Agent action to forward them to your resale’s support.
  • If they answer “no” or “continue”, the flow continues to the next module.

These branches keep the tour interactive and prevent the client from getting lost.

4. Finish and activate the Flow

After building the desired sequence, click Save and then set the Flow status to Active. The flow will only be processed when it is active.

5. Set up automatic enrollment with Synapse

So the tour triggers without manual action, create a rule in the Synapse module:

  • Access Synapse and add a new automation.
  • Define the trigger: When a new conversation starts → select the inbox where your white label clients make first contact (for example, a dedicated WhatsApp inbox exclusively for onboardings).
  • Choose the action: Enroll contact in Flow and select the “White Label Onboarding Tour” Flow.

From that moment on, every client who sends the first message in that inbox will be automatically enrolled in the guided tour — even outside business hours.

Who this flow is recommended for

  • White label resellers who want to accelerate platform adoption by their clients.
  • Agencies and software houses that want to reduce the volume of basic questions in the first days and free up support for more complex questions.
  • Operations with many new clients at the same time, where one-to-one onboarding is not scalable.
  • Teams that value brand experience: all tour messages carry the name, logo, and colors configured in the resale panel.

Frequently asked questions

Can I personalize the messages with the client’s and platform’s name?

Yes. Use the {{ contact.first_name }} variable for the contact’s name. The platform name and colors already reflect the white label brand configuration you made in the resale panel, with no mention of Papo.

Do I need an approved message template (HSM) for the tour?

No. Because the flow is triggered in response to a message initiated by the client (within the 24-hour customer service window), it qualifies as a service conversation and does not require an HSM. If you want to include buttons or rich media, using a template is recommended to ensure deliverability.

Can I include videos or GIFs in the tour?

Yes. In the Send Message node, you can attach images, videos, or GIFs that illustrate each module. This makes the tour more dynamic and reduces the learning curve.

Does the flow work only for WhatsApp?

The flow can run on the channel where the conversation is started. Because white label resale usually uses WhatsApp as the main channel, the experience is designed for it, but enrollment in the Flow can come from any inbox configured in Synapse.

Can my clients who have already started using the platform receive the tour later?

Yes. You can manually enroll a contact in the Flow at any time, directly from the Contacts module or through CRM search. This way, clients who are already active but still have questions can review the modules.

Do I need technical knowledge to create the flow?

No. Papo’s visual Flow editor lets you build the message sequence by dragging and configuring nodes, without code. The only technical step is configuring Synapse, which is also done through a simple interface.
