1. Introduction
Papo Global is a multichannel customer service platform with AI, CRM, automations, and team collaboration in one place.
It helps you:
- Centralize WhatsApp, social media, email, and website conversations
- Automate replies with a configurable AI assistant
- Organize leads and sales with pipelines (Kanban)
- Run broadcasts, email campaigns, and chatbot flows
- Measure performance with reports and statistics
This guide walks through the full platform — from registration to advanced features — based on the official Papo Global
tutorial.
Two environments: Setup and prompt configuration live at papo.global. Day-to-day inbox and advanced tools live at
chat.papo.global. Both are connected and sync with your account.
2. Getting started
2.1 Create your account
1. Search for Papo Global on Google or open papo.global in your browser.
2. Click Start now.
3. Sign in using one of the following:
- Google (one-click login), or
- Email and password (registration form).
After login, you land on the onboarding screen.
2.2 Onboarding overview
Onboarding offers three paths:

Recommendation: Start with the prompt first. A well-configured assistant makes WhatsApp testing and daily use much
smoother.
2.3 Activate your workspace
1. Enter your phone number on the activation screen.
2. Click Activate now.
3. Check your email — you will receive login details and platform information.
4. Return to onboarding and click Configure prompt to continue.
3. Configure your AI assistant (prompt)
3.1 What is the prompt?
The prompt is the set of instructions that tells the artificial intelligence how to behave on WhatsApp and in your
inboxes.
The more accurate and complete your company information, the better the AI responses. Think of the prompt as your
assistant’s “job description” and knowledge base combined.
3.2 The seven prompt sections
Papo Global organizes the main prompt into seven sections. Fill each one according to your business:

You can refine each section over time. Start with the essentials, save, and improve as you test real conversations.
3.3 Save, test, and continue
1. Click Save after editing the sections.
2. Use the test tools in the prompt area to preview behavior before going live.
3. When satisfied, click Continue in onboarding.
4. Proceed to WhatsApp QR code — your AI will be ready to respond once connected.
4. Connect WhatsApp
1. Open the WhatsApp connection step in onboarding (or go to Connections / Instances in your account).
2. Scan the QR code with the WhatsApp app on your phone (Linked devices).
3. Once connected, the AI starts handling incoming messages according to your prompt.
If you get disconnected or inactive for a long time:
- Recreate the instance and scan the QR code again, or
- Delete the old instance and create a new one.
In the simple panel, WhatsApp is the primary channel. The advanced inbox supports additional channels (see Section 7).
5. Two ways to use Papo
Papo Global offers two connected experiences:
5.1 Simple panel (account area)
- URL: papo.global → My Account
- Best for: Prompt setup, WhatsApp QR, files, image triggers, core AI settings
- Scope: Streamlined UI with essential tools
5.2 Advanced inbox (full platform)
- URL: chat.papo.global
- Best for: Multichannel inbox, CRM, teams, broadcasts, chatbots, reports
- Scope: Full Papo Global panel with advanced features
Both versions use the same account and stay in sync. Configure the assistant in the simple panel; manage live
conversations in the advanced inbox.
6. Simple panel — feature guide
6.1 Chat
The Chat area is for initial conversations and quick tests while you configure the platform.
6.2 Prompt, files, and URLs
In the Prompt menu you will find the same seven sections from onboarding. Additional options:
- Upload files — supplementary documents the AI can use (policies, catalogs, scripts).
- Read a URL — add web page content as extra knowledge.
These resources make your assistant smarter without rewriting the entire prompt.
6.3 Image triggers
In the Images area you can configure the AI to send images during a conversation:
1. Define a trigger or keyword.
2. Attach the images linked to that trigger.
3. When the customer mentions the keyword (or the condition is met), the assistant sends the images automatically.
Use this for price lists, product photos, location maps, or promotional creatives.
6.4 WhatsApp instances
The simple panel supports WhatsApp instances via QR code:
- Scan the QR code for each instance you create.
- You can run multiple instances (depending on your plan).
- If an instance stops working, recreate it or delete and add a new one.
6.5 Settings and AI behavior
Open Settings to fine-tune how the AI operates:

| Conversation memory | Number of past messages the AI remembers (up to 75 in the tutorial configuration) |
| Audio replies | When the customer sends voice notes, the AI can reply with audio |
| Webhooks | Send events to external systems (by keyword or all events) |
| Google Calendar | Native scheduling integration — connect and configure the scheduling prompt |
| Inboxes | Connect Facebook, Instagram, email, and other channels (advanced mode) |
| Enable / disable AI | Turn artificial intelligence on or off per inbox or globally |

7. Advanced platform — feature guide
Open the advanced panel from the button in the simple area, or go directly to chat.papo.global.
Papo Global is a multichannel hub: all inboxes in one place for faster, organized customer service.
7.1 Conversations
The Conversations inbox lists every active chat.
Organization tools:
- Right-click a conversation to assign an agent, add labels, or add to a team
- Filter by status (open / resolved), channel, type, or other criteria
- View contact details and chat metadata in the sidebar
Use open vs. resolved status to keep your queue under control.
7.2 Contacts
The Contacts module stores everyone who has interacted with your company. Use it for follow-ups, segmentation, and CRM
linkage.
7.3 CRM and sales pipelines
Papo includes a visual pipeline (Kanban):
- Drag and drop deals between stages
- Create multiple funnels for different products or teams
- Configure advanced sales flows from the top menu
Ideal for tracking leads from first message to closed sale.
7.4 Connections and internal chat
- Connections — manage WhatsApp and other channel connections
- Internal chat — team members communicate inside the platform without leaving Papo
7.5 Projects and task management
Manage projects or delivered services:
- Track tasks through a workflow
- Update status (in progress, completed, canceled) from the project view or linked chat
Useful for agencies, consultancies, and service businesses.
7.6 Scheduling and Google Calendar
Schedule appointments in two ways:
1. Papo’s built-in calendar — configure via the scheduling prompt in settings
2. Google Calendar integration — connect your Google account for two-way sync
Customers can book through the AI; events appear on your calendar automatically.
7.7 Broadcasts (bulk messaging)
Under Broadcast, create campaigns to message many contacts at once.
Audience sources:
- Contacts, tags, labels, or pipeline stages inside Papo
- External lists (imported files)
Best practice: Use the official WhatsApp API for bulk sends to reduce block risk and reach more recipients safely. Add
the official API under Settings → Inboxes.
7.8 Email marketing
Create email campaigns from templates in Papo.
Requirements:
- Connect an SMTP server (your own server or a provider such as SendGrid, Mailgun, etc.)
- Click Add new and enter SMTP credentials
Papo suggests compatible SMTP providers during setup.
7.9 Chatbot flows
The Chatbot builder creates step-by-step flows (distinct from free-form AI chat):
- Drag-and-drop blocks: messages, images, audio, conditions, etc.
- Assign a flow to a specific inbox
- Ideal when you need fixed scripts (qualification, FAQ trees, onboarding sequences)
AI assistant vs. chatbot:

7.10 Reports and analytics
The Reports area shows how your operation performs:
- Filter by conversations, agents, labels, inbox, teams
- Monitor response patterns and team workload
- Use data to improve scripts, staffing, and funnels
There is also a dedicated area for mass sending via the official API or partner tools (e.g. Trillion), where you create
campaigns tied to official API inboxes.
7.11 Knowledge portal
The Knowledge portal hosts help articles for your customers. The AI uses portal content when answering questions.
Setup:
1. Create a portal (name, branding, structure).
2. Add articles (FAQ, how-tos, policies).
3. Click Preview to see the public portal.
Published articles feed the AI — similar to Papo Global’s own help center. Keep articles updated as your product or
policies change.
7.12 Platform settings
Advanced Settings include:
